Job Overview
A well-established pharmaceutical organisation is seeking a highly organised and detail-oriented Sales Assistant to support the National Sales Managers (NSMs) and the broader Sales Department. This role plays a key part in ensuring smooth administrative, financial, and operational coordination within the sales function.
The successful candidate will be responsible for maintaining accurate systems, supporting financial processes, coordinating meetings and travel, and ensuring compliance with internal policies and procedures.
Key Purpose of the Role
The Sales Assistant ensures efficient sales department operations by providing administrative support, maintaining data accuracy, managing financial documentation, and assisting with coordination across multiple business activities.

- System maintenance and data integrity

Key Responsibilities
1. Sales Operations & Administrative Support
- Provide daily administrative support to NSMs and the Sales team
- Maintain and update sales reports, databases, and internal systems
- Support onboarding processes for new employees
- Ensure accuracy and consistency of departmental records
2. Financial Administration
- Process invoices for payment, including obtaining approvals and tracking payments
- Follow up on outstanding purchase orders
- Manage and verify expense submissions with correct supporting documents
- Ensure correct cost allocations and resolve discrepancies
- Assist with customer payment processes and account-related administration
3. Systems Management
- Maintain accurate and updated sales systems and tools
- Ensure data integrity across all sales reporting platforms
- Support improvements in system processes where required
4. Meetings & Diary Coordination
- Manage NSM schedules and calendars
- Arrange meetings, including booking venues and preparing logistics
- Organise catering and refreshments for meetings
- Take minutes during meetings and track action items
- Support strategic and planning sessions
5. Travel & Event Coordination
- Arrange travel bookings including flights, accommodation, and car hire
- Support conference and event planning from preparation to execution
- Conduct venue sourcing and supplier coordination
- Provide on-site event support when required (travel is compulsory)
6. Compliance & Governance
- Conduct routine compliance checks within the department
- Review expenses and identify incorrect allocations
- Ensure adherence to company policies and SOPs
- Assist in updating operational procedures when needed
7. Cross-Functional Collaboration
- Liaise with Finance, Marketing, Operations, and other departments
- Ensure alignment of sales activities with broader organisational processes
8. General Sales Support
- Assist NSMs with administrative follow-ups and approvals
- Support operational and strategic tasks as required
Minimum Requirements
Qualifications & Experience
- Relevant tertiary qualification (Business Administration, Operations, or related field)
- 1–2 years’ experience in an administrative or sales support role
Skills & Competencies
- Strong organisational and administrative abilities
- High attention to detail and accuracy
- Proficiency in Microsoft Office (especially Excel)
- Financial administration and expense tracking skills
- Strong communication and coordination abilities
- Ability to manage multiple priorities and deadlines
- Meeting coordination and minute-taking experience
- Sales operations support exposure advantageous

Working Conditions
- Standard working hours: 07:00 – 17:00
