Job Overview

iqbusiness is seeking a highly organised and detail-oriented Virtual Program & Scheduling Coordinator to join their Global Business Services (GBS) team on a 12-month contract. This role is based in Welgemoed, Cape Town, with a hybrid working model (3 days onsite and 2 days remote).

The successful candidate will work closely with an international partner to ensure the seamless coordination of program resources, scheduling, and operational logistics. This is a behind-the-scenes role that plays a critical part in ensuring smooth program delivery across multiple regions and stakeholders.

The position focuses on accurate resource planning, system data management, and coordination of facilities such as training rooms, auditoriums, and accommodation arrangements. The role also contributes to the improvement of operational efficiency through digital tools, automation, and AI-driven systems.


Key Responsibilities

The Virtual Program & Scheduling Coordinator will be responsible for ensuring all program-related logistics and resource planning activities are executed accurately and on time. Responsibilities include:

  • Maintaining accurate program data within Salesforce, ensuring all scheduling and resource information is up to date and correctly recorded
  • Coordinating allocation of auditoriums, classrooms, and meeting spaces based on program requirements, availability, and operational constraints
  • Supporting hotel and accommodation planning by tracking room requirements, availability, and liaising with internal booking teams
  • Communicating with commercial and operational teams to obtain missing or incomplete program information required for planning and execution
  • Working closely with Program Coordinators, Faculty Assistants, Campus Services, and Hotel Booking teams to ensure full alignment of resource needs
  • Monitoring ongoing changes to program schedules and making timely adjustments to room, venue, and accommodation allocations
  • Supporting the Resource Management team in maintaining a global overview of capacity, utilisation, and scheduling constraints
  • Assisting in the implementation and rollout of automation tools and AI-enabled systems designed to improve efficiency in scheduling and resource allocation
  • Documenting operational processes and assisting in training team members on new systems, tools, and workflows
  • Ensuring compliance with internal quality standards and maintaining consistency in all scheduling and resource planning activities

Minimum Requirements

To be considered for this role, candidates should meet the following requirements:

  • Bachelor’s degree in Hospitality Management, Business Administration, Operations Management, or a related field
  • Experience working in international or multicultural environments
  • Proven background in coordinating virtual programs or managing complex scheduling processes
  • Experience working with CRM systems, with Salesforce experience considered a strong advantage
  • Ability to manage detailed program data and ensure high levels of accuracy in all inputs
  • Previous exposure to resource planning, hotel coordination, facility management, or program logistics is beneficial
