The Clinic Receptionist plays a vital role in ensuring the smooth day-to-day operation of the clinic by managing patient interactions, scheduling appointments, handling administrative duties, and supporting healthcare professionals in delivering quality care.


Role Purpose

The main purpose of this position is to serve as the first point of contact for patients, both in person and over the phone. The successful candidate will ensure that all administrative processes are handled efficiently, patient records are maintained accurately, and the clinic environment remains professional and welcoming.


Key Responsibilities

Patient Administration

  • Register patients according to established procedures
  • Assist patients in completing medical forms and insurance documentation
  • Open and maintain accurate patient files
  • Ensure all patient information is correctly captured and updated
  • Manage patient flow and ensure appointments run on schedule

Reception & Communication

  • Answer incoming calls promptly and professionally
  • Use proper telephone etiquette when interacting with patients
  • Provide accurate information regarding clinic services and procedures
  • Take detailed and accurate messages, ensuring correct follow-up
  • Direct calls and messages to the appropriate staff members

Appointment & Records Management

  • Coordinate and schedule patient appointments
  • Monitor and update appointment systems
  • Follow up with patients regarding feedback or required documentation
  • Obtain medical reports when necessary

Financial & Medical Aid Processing

  • Process medical aid claims and payments
  • Assist patients with medical aid authorization queries
  • Ensure all billing procedures are completed accurately

Clinic Support & Maintenance

  • Monitor clinic supplies including stationery, medication, and equipment
  • Ensure the reception area is clean, organised, and maintains patient confidentiality
  • Assist walk-in visitors and coordinate meetings or deliveries
  • Respond appropriately to patients in distress or emergency situations

Minimum Requirements

Essential

  • Grade 12 / Matric
  • South African citizenship
  • Ability to work under pressure
  • Strong organisational and time management skills
  • Ability to follow and provide clear instructions (both verbal and written)

Additional Requirements

  • Clear criminal and credit record (MIE verification)
  • Ability to sit at a workstation for extended periods
  • Valid driver’s license and/or reliable transport
