Role Overview
A transport and logistics company is seeking an experienced Transport Coordinator to manage and oversee daily fleet operations. The role focuses on coordinating truck movements, ensuring timely deliveries, monitoring fleet performance, and maintaining accurate operational documentation.
The successful candidate will play a key role in ensuring efficient transport execution, strong communication with drivers and customers, and full compliance with operational standards.
Key Purpose of the Role
To coordinate and control daily transport operations by dispatching loads, monitoring fleet activity, ensuring delivery compliance, and maintaining accurate operational records to achieve service level targets.
Key Responsibilities
Transport Coordination & Dispatch
- Plan and coordinate daily transport operations
- Allocate and dispatch loads to drivers according to operational schedules
- Ensure timely execution of delivery plans based on customer requirements
Fleet Monitoring & Control
- Track vehicle movements using fleet management systems
- Monitor delivery progress and resolve delays or route deviations
- Ensure vehicles are used efficiently according to operational plans
- Support fuel monitoring and highlight irregularities
Communication & Driver Management
- Maintain constant communication with drivers regarding schedules and instructions
- Provide updates on changes, delays, and delivery requirements
- Ensure drivers understand operational expectations and site instructions
- Promote professional conduct and service standards
Customer Service & Issue Resolution
- Handle delivery-related customer queries professionally
- Resolve operational issues where possible
- Escalate complex challenges to the Operations Manager
Documentation & Reporting
- Ensure all trip documentation (trip sheets, fuel slips, weighbridge slips, gate records) is complete and accurate
- Submit documentation for administrative processing
- Maintain daily operational logs and performance data
- Support reporting of KPIs such as OTIF, turnaround time, and fleet utilisation
Compliance & Safety
- Ensure daily vehicle inspection reports are completed
- Identify and escalate vehicle defects or safety concerns
- Confirm vehicles are roadworthy before dispatch
- Support compliance with transport and safety regulations
Operational Support
- Assist with workforce and fleet planning based on demand
- Identify capacity constraints and operational risks
- Support scheduling during peak demand periods
- Escalate performance or safety issues when necessary
Minimum Requirements
- NQF Level 6 Diploma in Transport and Logistics (or related field)
- Bachelor’s Degree in Transport and Logistics (advantageous)
- Minimum 3 years’ experience in transport coordination or dispatch role
- Experience in logistics and transport operations preferred
- Valid Code 8 driver’s licence (manual)
- Computer literacy (Microsoft Office: Excel, Word, Outlook)
- Experience with fleet systems (SeeTrack / Fleet Manager advantageous)
