A leading player in South Africa’s fast-moving consumer goods sector, AVI Limited, is recruiting a skilled and detail-oriented Sales Administrator (Pricing & Rebates) to join its Snackworks division based in Bryanston, Johannesburg.

The position focuses on financial administration, particularly pricing, rebates, accruals, and reconciliation processes. The successful candidate will play a key role in ensuring financial accuracy, compliance, and effective reporting across multiple systems, including SAP.


Role Purpose

The Sales Administrator (Pricing & Rebates) is responsible for managing and controlling trading term spend, rebates, and deductions while ensuring accurate financial reporting and alignment with business strategies. The role requires strong analytical capabilities, attention to detail, and the ability to collaborate with multiple internal and external stakeholders.


Key Responsibilities

1. Trading Terms Management

  • Manage monthly accruals and reconciliations for trading term spend
  • Reconcile balance sheet accounts against trading terms in SAP
  • Compare monthly and year-to-date accruals for accuracy
  • Analyse discrepancies and report on exceptions
  • Oversee grid management and customer-specific spend allocations

2. Deductions Processing

  • Match and process Accounts Receivable electronic deduction reports
  • Ensure accurate capturing and resolution of deductions

3. Payments Administration

  • Prepare and process monthly, quarterly, and annual trading term payments
  • Coordinate with customers to obtain valid tax invoices
  • Ensure compliance with agreed trading terms

4. Invoice Consolidation

  • Manage and consolidate all B2B invoices received daily
  • Ensure all trading terms and co-operative agreements are properly recorded

5. Month-End Reporting

  • Perform SAP and manual accrual balancing
  • Prepare journals and general ledger reconciliations
  • Generate detailed reports on spend and performance
  • Conduct monthly roll-forward reconciliations

6. Debtors and Claims Handling

  • Liaise with debtors regarding claims and deductions
  • Process credit notes where necessary

7. Sales Support and Analysis

  • Prepare various reports and analytical insights for sales management
  • Provide ad hoc spend reports to Customer Managers
  • Support decision-making through financial data analysis

8. Stakeholder Engagement

  • Collaborate with Customer Managers, sales teams, and finance departments
  • Liaise with external auditors to ensure compliance and transparency

9. Internal Controls and Compliance

  • Conduct internal control self-assessments and audits
  • Address risks and ensure compliance with governance standards
  • Review and update GRC reporting quarterly

10. Pricing Support

  • Provide backup support for Pricing Administrator functions
  • Ensure pricing accuracy and timely updates in SAP
  • Resolve EDI pricing discrepancies

Minimum Requirements

Qualifications

  • Grade 12 with Mathematics and/or Accounting
  • Tertiary qualification in Accounting, Finance, or Bookkeeping

Experience

  • Minimum of 5 years’ experience in Sales Administration or Account Administration
  • Proven experience within the FMCG industry (essential)
  • Strong understanding of trading terms, including:
    • Co-operative advertising spend
    • Rebates linked to turnover
    • Agent commissions
    • Warehouse allowances
    • Bulk and scanned discounts
    • Channel and fixed co-op spend
    • Swell allowances
    • SAP pricing (EDI and manual)

Technical Skills

  • Strong SAP systems experience (preferred)
  • Advanced Microsoft Excel skills (including formulas, pivots, and data analysis)
  • Solid understanding of financial reporting and reconciliation processes
