Position Overview
Hire Resolve is seeking a well-organised and detail-focused Debtors & Leasing Administrator to manage the full administrative and financial lifecycle of student accommodation leases. The role is critical in ensuring accurate tenant records, timely billing, efficient collections, and excellent service delivery in a high-volume residential environment.
Key Responsibilities
Lease Administration
- Manage the full leasing process from application to termination
- Ensure all supporting documents are correctly completed and filed (Lease Agreements, FICA documents, ID copies, consent forms, and inspection reports)
- Maintain accurate and up-to-date tenant lease records
System & Data Management
- Capture and maintain lease information on the MDA property management system
- Perform monthly rent roll calculations and generate billing statements by the 25th of each month
- Ensure data accuracy across all tenant records and financial systems
Debtors Management & Collections
- Load daily receipts onto the accounting system
- Follow up on outstanding rentals, utility charges, and maintenance-related payments
- Maintain accurate debtor records and support effective cash flow management
Occupancy Control
- Reconcile monthly occupancy schedules with actual resident data and biometric access systems
- Ensure full accuracy in occupancy reporting and tenant tracking
Tenant Relations
- Serve as the main contact point for student and parent queries relating to rent, maintenance, and Wi-Fi issues
- Manage tenant move-out processes including inspections, deposit refunds, and key handover procedures
Compliance & Administration
- Enforce residence rules and assist with disciplinary or eviction processes when required
- Ensure a safe, structured, and compliant living environment
- Support administrative processes linked to tenant management and financial records
Minimum Requirements
- Grade 12 (Matric)
- Relevant experience in debtors, leasing, or property administration
- Experience in student accommodation or residential property management will be an advantage
- Experience using MDA property management system is highly beneficial
- Strong computer literacy (MS Excel, Word, Outlook)
- High level of accuracy, honesty, and financial responsibility
- Strong communication skills with professional telephone etiquette
